Manage your bookings day to day
Your Calendar and the Bookings screen are where you run day-to-day. Clients book themselves through your site, but you can also add bookings yourself, move them, and track them through to done.
Where bookings come from
Most bookings arrive on their own — a client picks a service and a time on your site and confirms. They appear instantly on your Calendar. You can also add one yourself: use Add booking for a phone or in-person enquiry, or log a walk-in for someone you're seeing right now.
Booking statuses
Each booking carries a status so you know where it stands:
- Pending — awaiting payment (only for bookings that require a deposit or payment). It holds the slot while the client pays, and becomes confirmed once payment succeeds.
- Confirmed — booked and in the diary. This is the normal state for a self-booked appointment.
- Walk-in — a client you added on the spot.
- Completed — the appointment happened.
- Cancelled — called off, by you or (if you allow it) by the client.
Rescheduling and editing
Open any booking to change its time, service, or status. On the Calendar's day and week views you can drag a booking to a new time to reschedule it — the client's record updates and, if there's an overlap or a clash with a connected calendar, you'll be told before it sticks.
What your client receives
When a booking is confirmed, the client automatically gets:
- A confirmation email with the date, time, service, and location.
- A calendar attachment so they can add it to their own calendar in one tap.
- A payment receipt, if the booking was paid.
- A manage link — a secure link to cancel or reschedule themselves, if you've enabled self-service.
Reminder emails go out ahead of the appointment when the client opted in — see Notifications & reminders.
Keeping your diary honest
Your booking page only offers times that fit your opening hours and booking rules, and never double-books against an existing appointment or busy time from a connected calendar. The clients you build up along the way live under Clients.
