Clients & data protection

Every booking builds up your client list. The Clients screen is your address book and booking history in one — and it's also where you meet your data-protection obligations to the people who book with you.

Client history

Each client record gathers their contact details and their bookings with you, so you can see who's new, who's a regular, and what they've had done. A lapsed indicator flags clients you haven't seen in a while, so you can reach out and win them back.

Deleting a client (anonymise)

When someone asks you to delete their data — or you just want to clear an old record — deleting a client anonymises it rather than erasing the row outright. Their personal details (name, contact) are scrubbed, but the booking history stays intact and countable, so your past numbers and reporting don't develop holes. This is a deliberate, one-way action, so you're asked to confirm before it happens.

Exporting a client's data

If a client asks for a copy of the data you hold on them (a "subject access request"), you can export their record — their details, every booking, and their message history — as a single file to hand over. It's the same information, in a portable form.

Automatic clean-up

To keep you compliant without effort, inactive client personal data is automatically anonymised after a retention period. As with a manual delete, the booking history is preserved in anonymised form — you keep your business records, your clients keep their privacy.

Anonymising is not the same as removing a booking. The appointment history remains for your records; only the personal details attached to it are removed.
